Behind the Scenes

When you work with PartySavvy, you are getting much more than event rental products. With decades of experience in the rental industry, we know what questions to ask, what types of situations to anticipate and plan for, and how to keep you and your guests comfortable and happy during your event. We perform a great deal of behind the scenes planning with our clients, and other vendors, to assure that everything goes as expected on the day of your event. From planning to execution to removal, we use our expertise to ensure a worry-free rental experience for you.

 

Here, we’ve gathered information about each of the steps we take when planning tented events.

1. Discuss the venue and schedule a site evaluation

We need to know in advance what equipment and tools will be needed to complete the setup for your event. When you begin working with us, we’ll ask you a number of questions about your venue and your plans; for example, we’ll need to know whether the tent(s) will be going on a lawn area, a driveway, a patio, a parking lot, etc. The answer to those questions, and others, will help us to determine what rental products will be needed. During the site visit, we will examine the area and suggest ideal tent locations based on the details of your event.

2. Determine the ideal event layout

You want your guests to be able to flow easily from area to area in your event space, while also keeping them comfortable regardless of the weather conditions. We will discuss all of the planned activities, and the schedule for your event, to ensure your tenting, seating, and dining layouts make sense and that your guests will have enough room to sit, stand, dance, etc. We may also suggest additions such as walkway canopies to connect one area to another (tent to home, etc.), as well as accessories such as sidewalls, lighting, heaters, fans, etc.

3. Create a CAD drawing of your event layout

After the general layout has been established, we will create a detailed CAD drawing that will allow you to preview what your finished event layout will look like.

4. Coordinate with other vendors

PartySavvy will work with your other vendors such as event planners, caterers, florists, etc., to ensure no detail is overlooked and to establish a delivery schedule that works for all involved. We frequently work with other companies to sub-contract services that we do not offer in-house. We have excellent long-standing relationships with many vendors for a variety of event related services. We typically function as the general contractor for all of the event infrastructure; by working with our trusted partners, we can provide services such as flooring, carpeting, restroom facilities, generators, power distribution, specialty lighting, audio / visual services, air conditioning, etc.

5. Draft a backup plan for bad weather / the “rain plan”

The weather can be unpredictable in the Pittsburgh area, which is why we like to discuss changes and/or additions that may be needed if inclement weather is expected. We consider rain, snow, wind, heat, and cold, and will have a plan ready to go if needed.

As you can see, working with PartySavvy involves much more than choosing your rental items, and scheduling the delivery. We genuinely care about the success of your event; we’ll work with you throughout the planning process, from concept to completion, to assure that everything goes exactly as planned.

On the Day of the Event

6. We have the tent industry expertise you need

Over the past 45+ years, we have installed countless tents of all sizes and types, on all sorts of surfaces, for events of every description. We will make your tented space beautiful, safe, and secure.

7. Work with and around other vendors

Our delivery & installation crews will work with and around all other vendors to prepare your event space. The size and complexity of the event set up will help to determine the schedule of the work. For larger, more complex events that involve numerous vendors, a detailed installation and removal schedule that includes all vendors is an absolute must.

8. After the event

After your event is over, we will disassemble and remove the rentals as needed, and clean up any debris left from our work before we leave the site. Depending on the event, this typically happens within several days of your event.

Attendant Service

For additional peace of mind, you may want to consider our attendant service; for an additional fee, a PartySavvy staff member will be on-site throughout your event to address any issues that may arise with the equipment we’ve provided.
